A roadside breakdown costs the repair, the load, the driver’s hours, the customer’s confidence, and often an inspection you did not want. Nearly all of it is avoidable with a schedule that is boring, written down, and actually followed.
Most carriers do not lack a maintenance plan. They lack a maintenance plan that survives a busy week, which is the only kind that matters.
Build the cadence per unit, not per fleet
Trucks age by miles and hours, not by calendar. A schedule keyed to each unit's odometer — A service, B service, annual inspection, with the next-due mileage visible — catches the truck that ran 14,000 miles last month instead of the fleet average of 9,000.
- Preventive service intervals by mileage, with a window rather than a hard date.
- Annual DOT inspection tracked as an expiration, not a memory.
- Wear items — brakes, tires, air system — checked on a shorter loop than the full service.
Treat the DVIR as an input, not a form
Driver inspection reports are the cheapest inspection you will ever get: someone looks at every truck twice a day. That value is lost when defect reports pile up unread. A reported defect should create a repair task with an owner and a due date, and the driver should be able to see that it was addressed.
The defect a driver reports on Tuesday is the roadside inspection you avoid on Thursday.
Watch the repeat repairs
The same fault fixed three times on the same unit is not bad luck. Cost per mile by unit, tracked over a year, tells you which truck is quietly eating the maintenance budget and when replacing it beats repairing it again.
Schedule downtime like a load
Service that competes with revenue always loses. Put the shop appointment on the board as a commitment, in the slow part of the week, and dispatch plans around it. Trucks that get serviced during a planned four hours do not get serviced during an unplanned two days.
The one report to run monthly
Units overdue for service, units with open defects, and inspections expiring in sixty days. Three lists, ten minutes, and almost every preventable breakdown appears on one of them first.
